Staff can manage all volunteer functions directly through the volunteer profile. Follow the steps below to manage your volunteers.
Steps
- To convert a visitor to a volunteer, from the left navigation panel, click People | Visitors | Visitors.
- Scroll or use the Search bar to locate the visitor you wish to convert to a volunteer. Click the visitor’s profile, first, or last name.
- Click the Convert to Volunteer button below the profile image.
- In the Convert to Volunteer dialog box, provide the following:
- Email address
- Phone
- Check the Perform Background Check? check box to perform a background check
- For Available Locations, check the locations where the person will volunteer
- Click the Convert button.
You will receive a confirmation message. A Volunteer Pending banner appears across the top of the profile. The Convert to Volunteer button will now display the Volunteer Actions dropdown menu.
Approve the Pending Volunteer
From the Volunteer Actions dropdown menu, you can approve or deny the volunteer, or convert the volunteer to a visitor status, update information about the volunteer, or modify their email address:
- Approve Volunteer: Check the verification checkboxes required for approval, (if configured on the Volunteer Settings page). You will receive a confirmation message and the banner will change to Volunteer Approved.
- Deny Volunteer: Provide denial reason
- Covert Volunteer: Convert volunteer to visitor status
- Contact Volunteer: Type message and click sent to email the volunteer
- Add Note: Type a note and click Save to add a note to the Notes tab
- Add Background Check Date: Type the background check date and click Save
- Extensive Background Check: Type the date of the Extensive Background check and click Save
- Modify Email Address: Change the volunteer’s email address and click Update
Note: Providing the volunteer's email address gives them access to the Volunteer Portal, where they can access the hours they logged.
