If an iPad is not available or ideal for your location, you can use the web administration portal on a computer with a built-in or attached webcam to manage visitors, volunteers, and students for visitor management. 


You can also use a handheld 2D barcode scanner to scan government-issued IDs. For more information on compatible 2D barcode scanners, see the Web-Based Kiosk articles.


Note: Your Visitor Aware settings configuration affect the sections, dropdown menus, etc., that appear in the check-in kiosk.



Steps

  1. From the web administration portal, click the Check-In Kiosk button from the top-right of the screen.
    Note: Alternately, you can click the Activities dropdown menu and select From the web administration portal, and click the Check-In Kiosk button from the top-right of the screen.
  2. In the Select Kiosk Type dialog box, you have two options:
  • Click the Staff Assisted button to manually check-in the volunteer
  • Click the Secure Kiosk Mode button to allow the volunteer to self-manage the check-in

For Staff-Assisted Sign in

  1. Under Volunteer Photo, from the Select a Camera dropdown menu, select a camera if you use more than one camera (optional)
  2. Click the Take Photo button to capture the volunteer's photo.  
  3. In the Destination field, select the volunteering opportunity for the volunteer. 
  4. If enabled, in the Search Staff to Notify field, the visitor can start to type the name of the person to notify, and select the correct name

Note: Whether first and last name, date of birth, address, date of birth and/or sex fields appear depends on matching an existing volunteer profile. A handheld ID scanner from the recommended hardware page can be used to scan the volunteer's ID automatically filling these form fields.

  1. In the First Name and Last Name fields, type the volunteer's First and Last name. 
  2. In the Address field, begin typing their address, and then select it. 
  3. In the Date of Birth field, type their date of birth.
  4. In the Sex dropdown menu, select their sex
  5. In the Search Staff to Notify dropdown menu, begin typing a name to select from the options (optional). 
  6. In the Mobile Phone Number (optional) field enter the volunteer's mobile phone number.

Note: The following fields will display if a phone number is entered if settings are configured to show them: 

  • Click the Auto-generate, and send a QR Code ID? checkbox to send this volunteer their profile-specific QR Code ID via SMS to the phone number listed (optional)
  • Click the Sign up for location-specific alerts while checked in to send notifications via SMS related to events at this location while checked in (optional - InformaCast integration required)
  1. For Skip Badge Printing?  if you do not want to print a badge, check the box. 
  2. Select a printer from the Printer dropdown menu.
  3. Click the Sign In button to check in the volunteer.

Note: Whether first and last name, date of birth, address, date of birth and/or sex fields appear depends on matching an existing volunteer profile.

  1. Under the Sign In section, click the QR Code Sign In link to sign in a volunteer using their QR code ID.
  2. Click the Employee Check-In link to check them in using their employee ID. This option will only appear if this feature is enabled.

For Kiosk Mode Sign in (Volunteer self-service)

  1. Under Volunteer Photo, from the Select a Camera dropdown menu, select a camera if you use more than one camera (optional).
  2. Click the Take Photo button to capture the volunteer's photo.  
  3. In the Destination field, select the volunteering opportunity. 
  4. If enabled, in the Search Staff to Notify field, the volunteer can start to type the name of the person to notify, and select the correct name

Note: Whether first and last name, date of birth, address, date of birth and/or sex fields appear depends on matching an existing volunteer profile. The volunteer can use a handheld ID scanner from the recommended hardware page to scan their ID automatically filling these form fields.

  1. In the First Name and Last Name fields, the volunteer will type their First and Last name. 
  2. In the Address field, the volunteer can begin typing their address, and then select it. 
  3. In the Date of Birth field, the volunteer will type their date of birth.
  4. In the Sex dropdown menu, the volunteer will select their sex
  5. In the Search Staff to Notify dropdown menu, the volunteer can begin typing a name and select from the available options (optional). 
  6. In the Mobile Phone Number (optional) field the volunteer will enter their mobile phone number.

Note: The following fields will display if the volunteer enters a phone number and if settings are configured to show them: 

  • Click the Send a Checkout code to? checkbox to receive a checkout QR Code via SMS to the phone number listed (optional). This QR code can expedite the checkout process. This setting appears by default
  • Click the Auto-generate, and send a QR Code ID? checkbox to receive their profile-specific QR Code ID via SMS to the phone number listed (optional). If this setting is enabled, it will replace the default option listed above
  • Click the Sign up for location-specific alerts while checked in to send notifications via SMS related to events at this location while checked in (optional - InformaCast integration required)
  1. Click the Sign In button to check in as a volunteer.

Note: Whether first and last name, date of birth, address, date of birth and/or sex fields appear depends on matching an existing volunteer profile when facial recognition is enabled. When facial recognition is disabled, all form fields display by default.

  1. Under the Sign In section, click the QR Code Sign In link to sign into a volunteering opportunity using their QR code ID.
  2. Click the Employee Check-In link to check in using their employee ID. This option appears if this feature is enabled.

View Volunteers in the Current Visitors table 

Note: In the table, the Role column identifies the type of visitor, such as Volunteer. 

  1. The Current Visitors table displays the following information, and you can click the column headers to sort the information:
  • Photo  
  • Visitor  
  • Role  
  • Destination 
  • Entered 
  1. Click the Print Badge icon to print a badge for the visitor or volunteer.
  2. Click the Check Out button to check out the visitor or volunteer.
