Visitor Aware users can activate an Incident (emergency) via their online dashboard. Upon activation, Visitor Aware will send alerts according to each user's preferences (email, text, or phone call) so that protocols can be immediately set into motion.


How to Trigger An Incident:

  1. Click the Incident button in the top-right corner of your dashboard screen. This button is available on all screens within the Visitor Aware admin dashboard.

  1. A pop up appears asking for additional details. These fields are optional. They are not needed in the event of an immediate incident.


Important: A countdown banner appears showing the seconds before the Incident is activated. You can click the banner to cancel the Incident. 


  1. However, if the current crisis allows, you are able to fill out the associated Incident NotesUsers to Notify, and Incident Type fields.


  1. Click the Users to Notify dropdown menu to select if there are only specific users that you wish to notify. 
  2. Click the appropriate Incident Type radio button. 
  3. Click the Create Family Reunification check box to enable Family Reunification.
  4. Click the Trigger Incident button. A Triggering Incident confirmation pop up message appears. 
  5. Click OK to dismiss the message.

Manage the Incident

  1. After clicking the Trigger incident! button, you will be redirected to the Incident Management screen as shown below. 
  • Yellow pin:  Designates where the incident was triggered
  • Green pin: Indicates that a user has marked themselves safe



If an actual incident were to be triggered, the map view would be zoomed in far enough to tell responders an estimate on where the incident was triggered within the building. 


Coordinates are also reported for individuals who mark themselves as safe or in need of assistance through the Visitor Aware Watchdog application and pins are placed on the map to indicate their associated locations and status reports.


Manage the Incident from a Web Browser Option

Users logged in to Visitor Aware through a web browser can click the Incidents tab in the left navigation to access the  Incident Management page and manually indicate an individual is Safe or Needs Assistance


Under the Report Status column:

  1. Click the Safe button to report the individual safe.
  2. Click the Assistance button to report the individual needs assistance.  


Note: Coordinates cannot be collected/reported for these individuals if their status is reported in this manner.



  1. All communication details are recorded under the Notifications tab for each individual incident to create a log of the associated incident activity.



  1. Under the Details tab, you can view why the incident was triggered, where it was triggered, and who triggered the incident.
  2. If the user checks the Create Family Reunification checkbox when they trigger the incident, a Family Reunification tab will also be present. Click this tab to  navigate to the Family Reunification details page for the Family Reunification event associated with the incident.



How to Cancel or End an Active Incident

  1. To end an active incident, navigate back to the top portion of your screen and click the button for the in-progress Incident Type (in this example, the Incident Type is Active Assailant).


  1. The Resolve Incident pop-up box appears with three options:
  • Click the Resolve Incident button 
  • Or click the Cancel button to continue with the incident  
  • Click the View Incident button to access the Incident Details page
  1. You will then see the popup box displayed below. Select the Resolve Incident button to turn off incident management and close the active incident.



  1. The top right Incident button will return to normal. There will no longer be an active incident.
