When a visitor profile is converted to a volunteer profile, there will be an option to add an email address for the new volunteer. If an email address is supplied, the newly converted volunteer will be supplied with an activation link to their new volunteer portal. Within the volunteer portal they will have access to manage what events/functions they sign-up for as well as managing their volunteer hours.


Granting Volunteer Portal Access

During the visitor to volunteer conversion process detailed in "Managing Volunteer Profiles", a popup box will allow office staff to enter an email address for the volunteer as shown below. Once an email address has been typed in, click "Convert" to complete the profile conversion process.

To finish the volunteer conversion process and to give the volunteer access to their portal, you will need to check that all necessary information and documentation has been received for this volunteer. To do this, click "Approve Volunteer" under the "Volunteer Actions" menu and make sure all necessary tasks are done.


If all the information is accounted for, click "Approve" and an email will be sent out to the volunteer's supplied email address giving them access to their volunteer portal.


Volunteer Portal

To gain access to the volunteer portal, volunteers will need to go to the Visitor Aware login page located here (https://app.visitor-aware.com/login).


Once the volunteer logs in, they will see a screen like the one displayed below.


Volunteer Dashboard

From the volunteer dashboard, volunteers can instantly click to log hours, view how many hours they've currently logged, and how many visits they've completed. The volunteer can also quickly view the volunteering calendar to see if there are any functions coming up that they would like to volunteer for as shown below. Simply click or hover over the function to view the associated details.


If you click on the function, a popup box will be displayed as shown below. The volunteer will then be able to sign-up for the function to volunteer their time.



Any events that a volunteer has signed up for will have a check mark next to the calendar function as shown below.


Volunteers can also click the top right button labeled "My Events" for a calendar view that only displays what functions to which they are currently signed up to volunteer their time.


Volunteer Log Hours

From the left hand navigation column, there is an option to "Log Hours". This screen allows volunteers the ability to add additional volunteering hours that they were unable to log through the Visitor Aware check-in application. This could be used for tutoring hours that were completed off campus, other various volunteering opportunities that were offered and completed, or even accounting for hours that someone forgot to sign-in to obtain at the school. 


Volunteer Portal Settings

Volunteers have access to update their associated settings and to logout of their account through their name located in the top right corner of their portal. 


Volunteers can update their name and email address under the "Profile" tab and change their password under the "Password" tab.


Volunteer Portal Password Reset

If a volunteer contacts the office to reset their portal password, this can be accomplished by navigating to the "Volunteer Management" section underneath the left hand navigation menu, clicking "Volunteers" and then "All Volunteers". Next, search for the associated volunteer that needs a reset password link and click the gear icon on the right. Click "Reset Password" and an email will be sent out to the volunteer to change their password.
