This article explains the process of setting up Visitor Aware at your location using the following configuration:

  • iPad Check-in Kiosks for visitors to check in and out
  • Wireless Brother QL-Series badge printers


The following instructions assume you have an existing and active Visitor Aware account with a username and password.  This may be a user created specifically to sign into kiosks and does not need to be your personal user account.


Step 1: Connect the Brother Wireless Printer to Your Network

Following the instructions below, connect your Brother wireless printer to your wireless network.  Your network must be 2.4GHz, 5GHz is not supported by Brother wireless printers at this time.



Step 2: Ensure the Printer is Connected to your Network Successfully

This step assumes you have an iOS device on the same network you've connected your Brother printer to.


  • Open your iOS device
  • Open notes and create a new note that says "Test" or something similar
  • Click the Up arrow on the top right of the note, this should open the sharing menu
  • Scroll down to "Print" and tap
  • Tap on "Printer" and select your Brother printer.  If it isn't shown, try again after 60 seconds (sometimes the printers don't show up on the network immediately after being configured)
  • Tap "Print" on the top right and make sure the note is printed


Step 3: Install Check-in Application on iPads


  • Using your MDM or direct Apple App Store download, install the "Visitor Aware" application: https://apps.apple.com/us/app/visitoraware/id1405760363
  • Sign into the Visitor Aware application on the iPad using your preferred Visitor Aware email address and password.  
    • Your users will not need to log in to the kiosk application unless no one has previously signed in, or if the user has signed out explicitly.
  • The application will ask to:
    • "Find and Connect to Devices on your local network"- Click "Allow"
    • "Access the Camera" - Click "Allow"
    • "Access Your Location" - Optional, may be "Only While Using Visitor Aware"
  • Click the gear icon on the bottom right, then:
    • Select the "Locations" menu
    • Tap on your current location to select it
    • Click the gear icon again
    • Select "Printer Settings"
    • Tap "Find Printer on Network"
      • You'll see "Scanning network for printers"
      • Select your badge printer
      • Tap on "Print Badge on check-in success" (when enabled, the toggle will be green)
    • Tap "Test Printer".  You should see a test badge print to your selected printer


Step 4: Check-In Visitors

  • On the iPad, click "Visitors", then select "Check In"
  • Chose any destination and tap "Next"
  • Take your photo, and scan your ID if prompted
  • A badge should automatically print upon check-in success and you're done!


No printer found?

In the event that your printer is not found, double-check to ensure both the iPad and badge printer are on the same wireless network.  If they are, and you're able to print a test note to the printer from the iPad:

        ( Please Read ) MDMs can prevent some VisitorAware iOS App permissions.

  • Brother QL-810W or Brother QL-810Wc:
    • Press and hold the cut button until labels begin printing. Five labels will print out; the first three will be blank and can be discarded.
    • On the fourth label, find the IP address line. It will be a series of numbers separated by periods (for example 192.168.1.44 or 10.0.1.23)
      • Enter the IP address
      • Select "Brother QL-810W" (even if you're using an 810-Wc)
      • Click "Setup"
      • Click "Test Printer"
  • Brother QL-820NWB or Brother QL-820NWBc
    • Press Menu on the printer
    • Go to WLAN and press OK
    • Go to WLAN Status and press OK
    • Select your connection type and press OK
    • The IP address is listed under the IP Address
      • Enter the IP address
      • Select "Brother QL-820NWB" (even if you're using an 810-Wc)
      • Click "Setup"
      • Click "Test Printer"
