This article explains the process of using Visitor Aware if you are a teacher, and have students assigned to you, or are a substitute teacher using the platform.


The following instructions assume you have an existing and active Visitor Aware account with a username and password. 


Signing In


  1. Navigate to https://app.visitor-aware.com/login
  2. Sign in using your VIsitor Aware email address and password
  3. If you haven't already, go to your user settings (https://app.visitor-aware.com/settings/user) and make sure that your contact information is up to date. Email address and phone number are used to contact you in the event of an emergency, or family reunification event.


Dismissal Notes


Occasionally your students may have a different means of leaving the school. These are shown in the "Dismissal Notes" section on your dashboard, on the dismissal notes screen (https://app.visitor-aware.com/teacher/dismissals). Dismissal notes are typically added by front office staff or the student's guardians. Teachers cannot add dismissal notes. 


Dismissal notes update in real-time. If you have a question regarding a specific dismissal note, reach out to your front desk personnel.


Expected Visitors


If you know ahead of time that someone is coming to the school to meet with you, you can let the front office know by adding them as an expected visitor (https://app.visitor-aware.com/expected-visitors/create). You'll automatically receive a notification when your visitor checks in. The expected visitor list is updated in real-time. 



Family Reunification Events


Family Reunification is a tool that allows you to record the status and location of your students during an emergency or evacuation. 


When an administrator activates a new family reunification event, if you're already logged into your Visitor Aware dashboard, you'll be automatically redirected to the active family reunification event.  


If you are not already logged in, you'll receive an email and/or text message that contains a link to log in automatically, which will take you to the family reunification event.


After you're at the family reunification event:

  • Set your staging area. This is where you are currently, and if your current location is not on the list, just type it in and hit enter.
  • Your rostered students will be shown automatically. Check the box in the left column to indicate that they are present and accounted for
    • If you have students who are not present and accounted for, you can set their status using the "Change Status" menu in the right column
    • If you have a student with you who is not in your list, you can type their name in the search field. When their name appears, you can update their status accordingly.

WHAT IF ......


Q: What if an emergency is activated? How will I know?

A: You will receive automatic text, email, and web-based notifications, based on the contact information in your profile.


Q: What if I don't receive notifications for family reunification events or emergencies?

A: Please ensure that your contact information is up to date in your student information system, and/or in your user settings from within Visitor Aware.  If you still aren't receiving notifications for events, please reach out to your Visitor Aware administrator to ensure that your account is set to receive those notifications.


Q: What if I don't see one of the things mentioned in this article?

A: Please reach out to your Visitor Aware administrator to ensure that the feature is enabled. Not all features are enabled for all clients.
