In this article you’ll learn how students use the Check-in Kiosk application on an iPad (or iPhone) for the following functions:

  • Student Late Arrival
  • Student Self Sign-Out
  • Student Self Sign-In
  • Departing with Student 
  • Returning with Student


You may receive questions from students, visitors, and volunteers, or need to direct them when using the kiosk stations. 


To view student sign in and sign out activities in the web application, go to the Attendance Records page.


If you haven't yet done so, please download and install the Visitor Aware application on your iPad from the Apple App Store.


Note: You can use an iPhone with the Kiosk application, however, for an optimal experience we recommend using an iPad.


Steps

Log in to the Visitor Aware application on your iPad. 


Note: The student completes the following steps on the iPad. Student-self sign in actions include scanning the barcode on their student ID, or entering their student ID number. The student will not be prompted for facial scans.


Student Late Arrival

Student Late Arrival records a student barcode scan or entry after the start of the school day. A student can enter a destination and select a reason from a dropdown menu of preset categories.  

  1. Tap the Students button.
  2. Tap the Student Late Arrival button. The screen includes instructions for the student to scan their ID card, or enter their student identification number. 
  3. The student types their destination, for example, homeroom. 
  4. From the Reason for being Late dropdown menu, the student taps a reason:
  • Tardy
  • Appointment
  • Sickness
  • Car Trouble
  • Late Bus

  1. Tap Submit.

Visitor Aware records the student’s late arrival on the Attendance Records page. 


Note: If you configured your device settings to print tardy passes automatically, a badge will print. You can find the settings in the web application. Navigate to System Settings, then click Device Settings. From there you can set Student/Teacher to print tardy passes automatically.


Student Self Sign Out

Student Late Arrival records a student barcode scan or entry after the start of the school day. A student can enter a destination and select a reason from a dropdown menu of preset categories.  

  1. Tap the Students button.
  2. Tap the Student Self Sign Out button. The screen includes instructions for the student to scan their ID card or enter their student identification number. 
  3. Tap the self sign-out reason:
  • Illness
  • Doctors’ Appointment
  • Family Emergency
  • Personal
  • Other

  1. Tap the Sign Out button.


Student Self Sign In

Student Self Sign In allows students returning from an off-campus event to sign themselves in (after signing out during the same school day).

  1. Tap the Students button.
  2. Tap Student Self Sign In.
  3. Scan the QR code on the identification card. 
  4. Tap Sign In.

Visitor Aware records the student’s sign in on the Attendance Records page.


Departing with Student

Departing with Student allows guardians to sign out a student for whom they have a defined relationship. Only guardians who have an approved relationship with the student are eligible to sign out the student.


Note: To find the guardians allowed to sign out a particular student, log in to the web application. From the left navigation menu, click People, then Students. Click View Students. Find the student’s name in the table. Click the name of the student, and then scroll to find the Approved Relationships field

  1. Click the Students button.
  2. Tap the Departing With Student button. The guardian takes a photo of their face using the kiosk iPad app. Visitor Aware evaluates the photo. 

Visitor Recognized

If Visitor Aware recognizes the guardian as an existing visitor, a screen appears with a list of students eligible for the guardian to sign out.


Visitor Not Recognized

If Visitor Aware does not recognize the guardian as an existing visitor, a screen appears to prompt the guardian to scan their driver’s license. A list of students eligible for the guardian to sign out appears.

  1. Tap the name of the student.

  2. Tap the Sign Out button.

Returning With Student

Returning With Student allows guardians to sign in a student for whom they have a defined relationship. Only guardians listed in the on the View Students page of the web application in the Approved Relationships field are eligible to sign in the student. If more than one guardian is listed,  any of them can sign in the student. 

  1. Tap the Returning With Student button. The guardian takes a photo of their face using the iPad app. 
  2. Visitor Aware evaluates the photo.

Visitor Recognized

If Visitor Aware recognizes the guardian as an existing visitor, a screen appears with a list of students eligible for the guardian to sign in.


Visitor Not Recognized

If Visitor Aware does not recognize the guardian as an existing visitor, a screen appears to prompt the guardian to scan their driver’s license. A list of students eligible for the guardian to sign in appears.

  1. Tap the name of the student.

  2. Tap the Sign In button.
