In this article you’ll learn how volunteers use the kiosk application on an iPad (or iPhone) for the following functions:
- Volunteer Check In
- Volunteer Check Out
- Volunteer QR Check In
- Photo Exempt
You may receive questions from students, visitors, and volunteers, or need to direct them when they use the kiosk stations.
To view volunteer sign in and sign out activities in the web application, from the left navigation click Visits, then All Visits, and then click the Current Visits tab.

If you haven't yet done so, please download and install the Visitor Aware application on your iPad from the Apple App Store.
Note: You can use an iPhone with the Kiosk application, however, for an optimal experience we recommend using an iPad.
Steps
Log in to the Visitor Aware application on your iPad. The volunteer completes the following steps.
Note: If you configured the Require Signature field on the web application Device Settings screen, a signature panel will appear for the volunteer to sign. If you added verbiage to the Terms and Conditions field, the verbiage will appear at the top of the signature panel.
Check In
- Tap the Volunteers button.
- Tap the Check In button.
- Tap the Take Your Photo button when your face is shown in the viewfinder window. The photo is evaluated.
Volunteer Recognized
If Visitor Aware recognizes the volunteer from the application they submitted, or from a previous check in, a screen appears allowing them to select a destination from a dropdown menu.
Volunteer Not Recognized
If Visitor Aware does not recognize the volunteer, a screen appears to prompt them to scan their driver’s license. After the volunteer scans the driver’s license, a screen appears allowing the volunteer to select a destination from a dropdown menu.
Volunteer Matched Incorrectly
If Visitor Aware recognizes the volunteer, but the first name in the Welcome Back message is not the visitor's name, tap the Welcome Back message. Then tap the no that's not me button. A prompt will appear for the visitor to scan their driver’s license.
Note: Volunteer Type and Phone Number fields appear, but are not required to check in.
Tap the Check In button.
A check-in verification message appears on the screen.
Check Out
- Tap the Volunteers button.
- Tap the Check out button.
- Scan the QR code, or take your photo.
A check-out verification message appears on the screen.
Photo Exempt
- Tap the Volunteers button.
- Tap the Photo Exempt button.
A message appears in the kiosk app to indicate that a photo exempt check in request has been made, and to see the operator for assistance.
Tap the Close button.
In the web application, a notification appears indicating a volunteer has requested a photo exempt check-in. The administrator is presented with the option to tap Dismiss or Process Volunteer.
The administrator can click Dismiss and choose an alternate check in process.
To progress, click the Process Volunteer button.
In the web application, the Check In Kiosk page appears on the Visitor Check-In tab. Select a destination from the Destination dropdown menu.
Fill in the fields on the form, and click the Check In button. Check in is complete.
