In certain situations, it may be appropriate to allow entry to a visitor who has been flagged during the check-in process, whether while using the Check-In Kiosk or when staff assist the visitor to check-in manually through the web application.
Prerequisites
The Web Application (staff) user must have the Can Override Security Checks permission enabled.
Court Order-Related Reasons for Flagging
Active court order: Your school was provided with a court order, it was entered in Visitor Aware, and it has been lifted but not updated in your Student Information System (SIS). The SIS is the source of truth for Visitor Aware. Visitors with active court orders will be prohibited from automatic check-in and check-out without explicit staff interaction.

Other Reasons for Flagging
- Sex offender: The visitor's name and other identifying information appear on a Sex Offender watchlist.
- Watchlist: The visitor appears on a watchlist, such as the FBI watchlist, Terrorist Screening Database (TSDB), which is a centralized list of known or suspected terrorists, and is also used for visa and passport screening, air passenger screening, and access to U.S. military bases.
- Manually banned: The school has banned the visitor through the Web Application.
Steps
Follow the steps below to grant a flagged visitor temporary access.
Note: The steps below represent the user interface configuration as most customers will see it. It will appear slightly different for users in Florida, New York, and Illinois to comply with the states’ facial recognition laws.
- From the main dashboard, click the Check In Kiosk button. The Select Kiosk Type dialog box appears.
Note: Staff Assisted is intended to be used by you or another staff member to check-in a visitor. Secure Kiosk mode is intended for visitors to self-manage their check in. - Select the Staff Assisted button. The visitor’s photo appears in the Visitor Photo field.
Click the Destination dropdown menu and select the destination for the visitor.
In the Address field, begin typing the address for the visitor, and then click the address from the list of results. (If present)
In the Date of Birth field, type the date of birth. (If present)
Click the Sex dropdown menu and select the correct sex. (If present)
Click the Visitor Type dropdown menu, click the visitor type. (Optional)
In the Mobile Phone Number field, type the visitor’s phone number. (Optional)
To allow the visitor to enter without presenting identification for subsequent visits, check the box for Mark Visitor as Validated. (Optional, if present)
Check the box for Skip Badge Printing? to bypass printing a badge. (Optional)
Choose a printer from the Printer drop-down menu. (Optional)
Click the Check In button.
Note: If Facial Recognition functionality is enabled and the visitor is not recognized, or if they have not been checked in before additional fields will appear for the additional information, for example Date of Birth, Sex, etc.If a visitor is flagged during check-in, a notification will appear in the Web Application.
- You or another staff member will receive a message indicating the visitor has been flagged and the reason why, for example “Wayne Smith has active court orders. Please validate their access attempts." You are presented with the following options:
- Click the View Profile button to view the potential visitor’s profile.
- Click the Close button to close the dialog box.
- Click the Grant Temporary Access link to grant access and move them to checked-in status on the dashboard page in the Web Application.
If you choose to click the Grant Temporary Access link, the access will appear in the table on the Event History page.
