This article outlines how to assign temporary guardians for student dismissal and sign-out in Visitor Aware. This feature allows control over who can pick up students during specific times.
School and district users can:
- Select one or more students to whom you can assign a temporary guardian
- Set an expiration date for temporary guardian privileges
- Automatically email a notification to a temporary guardian when you add a temporary guardian
This process makes dismissal easier and safer by ensuring only authorized individuals can pick up students.
Note: Once an admin adds a temporary relationship, Visitor Aware emails the visitor who will serve as a temporary guardian. The temporary guardian must respond to the email and confirm the temporary guardian relationship.
Student Temporary Relationships
The table on the Student Temporary Relationships page displays a list of students and student information about student pick-up by someone other than their primary guardian.
Note: The temporary guardian must confirm a temporary relationship before they can pick up a student.
To access the Student Temporary Relationships page, start from the left navigation bar and click People | Students | Temporary Relationships.
On the Student Temporary Relationships page, you can complete the following actions:
- Select Date Range calendar: Select a date range for the temporary guardian relationship. The default is approximately 30 days.
- Search by Student ID or Name: Search by student name or ID for temporary relationships
- All Locations dropdown menu: Select a location (if more than one is available)
- Export: Export the list of temporary relationships
Table Columns and Functions:
- Student ID: The student’s school-provided identification number
- Student Name: The student’s first and last name
- Visitor Name: The name of the visitor who has served or is currently serving as temporary guardian
- Start Date: The date the temporary guardian status started
- End Date: The date the temporary guardian status ended
- Location: The name of the school location
- Status: The current status of the student’s temporary relationship
- Click the Confirmed status button to manually reset a confirmed status to a pending status
- Click the Pending status button to manually indicate the status is confirmed
- Active: Yes indicates the temporary guardian can pick up or sign out the student
Add a Temporary Relationship
- From the left navigation bar, click People | Students | Temporary Relationships.
- On the Temporary Relationships screen, click the + button, or the Click here to add a new temporary relationship to access the Add Temporary Relationships screen link.
- In the Select a Guardian section, type the name of the approved guardian who is requesting to add a temporary relationship and select it to filter for the matching student(s) in the next step.
- Select the name of the student.
Note: Students who appear in the dropdown menu have an existing relationship with the guardian you selected.
On the Add a Temporary Relationship page, the table contains the following fields and controls:
- Visitor Name: The name of the current visitor who will become the temporary guardian for the time range specified in the Relationship Date Range field. A bell icon with a line indicates the visitor does not have an email for which Visitor Aware can email a confirmation request.
Note: Visitors without an email address require staff or an administrator to manually confirm the temporary relationship. - Relationship Date Range: The start and end dates for the temporary relationship
- Confirmed: Indicates if the visitor has completed the confirmation request process sent via email
- A red icon indicates no
- A green icon indicates yes
- Actions: Delete (trash icon) deletes the temporary relationship
Note: The temporary guardian profile will remain in the visitor database upon deletion of the relationship, preserving all associated event history.
Add Existing Guardian
- Click the Add Existing Guardian button to reveal a dropdown menu.
- Select the name of the visitor who will serve as a temporary guardian to whom you will assign the student.
- Repeat these steps if you’d like to add additional existing guardians as temporary guardians.
Create New Guardian
Type the following information:
- First Name.
- Last Name.
- Date of Birth.
- Email Address.
- Click the OK button.
- Repeat these steps if you’d like to create additional guardians to add as temporary guardians.
- When you’ve added all temporary guardians, click the Save button at the bottom of the page.
Visitor Aware now adds them as pending temporary guardians for the student, and then sends them an email with a link to confirm the temporary relationship.
Important: Until the temporary guardian clicks the link in the email to confirm the temporary guardian relationship, they are not authorized to pick up the student.
