The web kiosk puts you in control of visitor check-in. Here, you’ll gather visitors’ essential information, require electronic signatures for important documents, and even allow visitors to create personal QR codes for faster future check-ins.
You can also customize the kiosk's appearance with your logo and colors, creating a welcome message and professional first impression.
Note: In this article, we broke out the settings specific to the iOS Kiosk only in the section titled, iOS Kiosk Only Settings for Appearance.
Configure Visitor Check-In on the Web Kiosk and the iOS Kiosk App
Steps
The web kiosk allows you to customize how visitors check-in to your school. Here's how to adjust the settings:
- From the left navigation, go to System Settings | Visitor Settings | Check-In.
- In the Make Visitor Type Required? section:
- Choose Yes to require selecting a visitor classification
- Choose No if you don't need this information
Important: This setting doesn't affect visitors using QR codes for check-in.
- In the Collect Additional Information During Check-In? section:
- Select Yes to gather extra information from visitors. You can customize the questions you will ask visitors.
- Select No if you don't need to collect extra information
- In the Label for Additional Information section, if you chose Yes above, type the question or instruction you want visitors to see (such as, "Who are you here to see?" or "Purpose of your visit?").
- In the Allow visitors to select staff members to notify of check-in? section:
- Choose Yes to let visitors choose the staff member they are visiting from a list. This will send a notification to the staff member
- Choose No if you don't want to use this feature
- In the Allow visitors to self-generate permanent QR Codes during check-in? section:
- Select Yes to allow visitors to create a personal QR code for faster check-in on future visits. They must provide their phone number to receive the QR code via text message.
- Select No if you don't want visitors to create personal QR codes
- Click the Save button to apply your settings.
iOS Kiosk Only Settings for Appearance
The Manage Kiosk Appearance page lets you customize how the kiosk looks and works. You can change the image, colors, messages, and settings to match your needs.
- From the left navigation, go to System Settings | Kiosk Appearance.
- In the Image/logo section, you can upload an image to personalize your kiosk. Visitor Aware uses the image for visitor badges, self-registration, and the administration portal.
- The image size should be no larger than 1MB
- The dimensions should not exceed 500px by 500px
- Square images are recommended
- In the Display Name section, add a name for your kiosk. This name will appear on both the check-in devices and the administrative dashboard.
- In the Welcome Message section, you can enter a welcome message to display on the main screen of the kiosk.
- The message should be no longer than 250 characters
- HTML and special characters are not allowed
- In the following sections, you can select colors for the kiosk’s appearance:
- Application Background
- Application button text
- Application button border
- Application title text
- In the Require visitors to explicitly confirm their identity? section, choose whether visitors need to confirm their identity.
If enabled, visitors and volunteers Visitor Aware identities using facial recognition will need to validate Visitor Aware has identified them correctly before checking in.
- In the Enable ID Scanning Tutorial Video? section, choose whether to show an ID scanning tutorial video demonstrating where visitors should place their ID for scanning.
If enabled, Visitor Aware shows the video.
- In the Enable Celebration Mode section, choose whether to enable celebration mode.
If enabled, visitors checking in see virtual confetti on the screen when checking in.
Note: Visitors will see virtual confetti when checking in on their birthday, regardless of this setting.
- In the Show Check Out Main Screen dropdown menu, choose whether to show the Check Out button on the main screen.
If enabled, it will be visible on the main screen. Otherwise, it will be located under the visitor/volunteer screens.
- In the Application Success Message Duration dropdown menu, set the duration in seconds for which to display the success messages and alerts to visitors.
- In the Employee Alerts section, choose whether to allow employees to subscribe to location-specific alerts.
If enabled, employees can opt-in to receive InformaCast alerts for specific locations when using the Employee Sign-in screens.
- Click the Save button to apply your changes.
