This guide covers the settings Administrators can control as an administrator to configure the Hall Manager feature for your school's needs.

Hall Manager Location Settings

Configure the settings for each school-level location in System Settings | Location Management | All Locations.


Follow the instructions in the Creating and Managing Locations article for the location on the Hall Manager Settings tab. There you can set the following:

  • Enable Hall Pass: Enables hall manager feature for the location
  • Hall Pass Distance: Allows the school to ensure students are on site when requesting a pass (e.g., within a quarter-mile radius of the school)
  • Location-Wide Hall Pass Limit: Sets the maximum number of active hall passes permitted across your entire school at any given time. (This prevents too many students from being in the halls simultaneously regardless of destination.)
  • Daily Student Pass Limits: This sets the default number of passes per student per day. This number can be overridden and increased or decreased as needed on a per-student basis in the Student-specific hall manager settings.
  • Hall Manager Daily Digest Notification Emails: Email addresses that will receive Hall Manager records daily

You can also view:

  • District ID: A unique identifier for your district that students use to log into their portal
  • Student Login Link: The specific link students can use to log into the student portal


Individual Student Settings

Configure individual student settings at People | Students | View Students | Hall Manager Settings tab.


Each student’s pass settings default to:

  • Unlimited daily passes (if no location-wide default is set)
  • Auto approval for pass requests (if no destination or student-specific approval is required)
  • No restrictions when other students are in an active pass status

Follow these steps to customize hall pass settings for individual students as needed.



Steps

  1. (Optional) In the Daily Hall Pass Limit field, enter the number of passes per day for the student. This setting overrides the location-wide default for an individual student (e.g., reduce it for a student who abuses the system or increase it for a student with special needs).
  2. (Optional) In Require Permission for Hall Passes?
  • Click the Yes radio button to require a staff member to approve the student’s hall pass requests for all their passes
  • Click the No radio button to set the student’s hall pass requests to auto approve passes for destinations that don’t require approval (default setting)
  1. For the Student Restrictions field, click into the field and begin to type the student’s namethat you want to restrict from having an active pass at the same time, and vice-versa, and then select the name when you see it. You can add multiple students to have restrictions from this student. This can be a useful tool when needed (e.g., to separate students who you may not want in the halls at the same time).


Pass Destinations

Manage hall pass destinations in System Settings | Hall Manager | Pass Destinations.




Here, you can search by pass destination name, and click the dropdown menu to select All Locations or a specific location. You can also add destinations and configure the granular rules for each.


Steps


  1. Click the + icon in the upper right of the screen to create a new hall pass destination. 
  2. Click the Pass Destination field and input a name for the destination (e.g., "Restroom - North Wing", "Nurse's Office").
  3. (Optional) In the Room Number field, input a room number for the destination (e.g., "Room 200").
  4. From the Location dropdown menu, select the school location this destination applies to.
  5. From the Active status dropdown menu, select Yes to make the destination available for pass requests, or No to temporarily close it (e.g., if the Nurse's Office is unstaffed). Changing Active to No will remove it as an option when issuing a hall pass in the admin and teacher view or when a student requests a pass from the student portal to go to a destination. 
  6. In the Max Duration (Minutes) field, input the maximum time a pass to this specific destination can be active. If blank, there is no time limit. Once a pass exceeds this max duration, it is set to Expired.
  7. In the Hall Pass Limit field, type how many students can have an active pass to this specific destination simultaneously (e.g., set to 1 to allow only one student to have a hall pass to go to a destination at a time).
  8. For the Approval Required? dropdown menu:
  • Select Yes for the pass to to require staff approval. Selecting Yes shows the Can Approve Requests dropdown menu.
  • Select No to allow automatic approval for passes
  1. For the Can Approve Requests dropdown menu, select the users who have permission to approve hall pass requests to this destination. If no one is selected, any admin/teacher associated with the location can approve requests to this pass destination.
  2. For the Can Manage Pass Destination dropdown menu, select the users who have permission to edit this destination. If no one is selected, any admin or teacher associated with the location can approve requests and edit the pass destination. 
  3. Click the Save button. 


Pass Duration Visibility

If you set a specific time limit for how long a student can be gone for any given destination in the Max Duration field, or specify one when creating a hall pass as an admin or teacher:

  • When a pass is approved, this duration becomes visible in the countdown timer that the student sees in their portal
  • If the duration expires, the pass record will turn red in the Hall Manager dashboard, visible to teachers and admins, indicating the student has exceeded their allotted time

Edit or Delete Pass Destinations

To change the settings for the destination, you can either click the Destination name, or click the settings icon dropdown menu, select Edit and make your changes. Click the Save button. 


To delete the destination, click the settings icon dropdown menu and select Delete this destination. A destination can only be deleted if no hall passes have been issued or approved for the destination. A confirmation message appears. Click the Delete button.
