The Hall Manager dashboard is where teachers and administrators will monitor and manage all student hall pass activity, and create passes on behalf of a student when needed. From this screen, you can view active passes, manage requests, create new passes on behalf of students, and get a clear picture of student movement throughout the school.


Teachers and admins can:

  • View hall passes for students in their classes by default, with the option to view others
  • Approve, deny, or cancel hall pass requests
  • Create hall passes 
  • Complete passes when a student has returned
  • Monitor active passes and receive alerts when: 
  • A student requests a pass
  • A student cancels a requested pass
  • A pass expires according to the max duration set for the destination, or duration set when an admin or teacher creates the pass
  • Access reports to understand student movement and missed instructional time

Accessing the Hall Manager dashboard

To access the Hall Manager dashboard, from the left navigation panel, click Hall Manager View Passes


Status Tiles

Across the top of the dashboard, you'll find status tiles that give you a quick, at-a-glance count of all passes for the day. The statuses include:

  • Requested
  • In Progress
  • Completed
  • Denied
  • Canceled

Filtering Passes

You can easily find specific passes using the search or filters at the top of the list. You can filter by:

  • Date Range
  • Status
  • Teacher
  • Location (typically the school)

Use the Search bar to search by student name, or pass destination name

Exporting Passes

To export the data from the report into a CSV file, click the Export button. The export includes:

  • Date and time the hall pass was requested
  • Number of passes requested for the student for the day
  • Student
  • Destination
  • Class 
  • Modified By
  • Status

Steps (Students Request Hall Passes)

When a student requests a pass to a destination that requires manual approval, you will receive a notification in the Hall Manager dashboard.

  1. The request will show the following:
  • Record: The student's record will appear in red.
    Note: The student's record also appears in red if the pass duration expires.
  • Student: Student’s name. Teachers or admins can click the student’s name to view the student’s settings.
  • Requested: The time the student requested the pass.
    Note: When a pass expires, an info tooltip appears next to the requested time that shows the amount of time the pass has expired. 
  • Duration: The duration since the pass was issued until the current time, or the time the pass was completed. Passes in progress and expired passes display updates in real time. 
  • Status: The status of the pass.
    • Requested
    • In Progress
    • Cancelled
    • Denied
    • Expired
    • Completed
    • Noncompliant
  • Class: The class from which the student requested the pass 
  • Modified By:  The name of the student, teacher, or admin who last modified the record (important for reporting)
  1. You will have the option to Approve, Deny, or Cancel the request. If a pass is approved by an admin or teacher or if a pass is auto approved, a returned pass option appears.
  2. The student will receive a notification of your decision in their Student Portal.

Creating a Pass for a Student

Teachers and admins can create a hall pass on behalf of a student at any time. This is useful for situations where a student is unable to access their own device.

  1. Click the plus (+) icon in the top right corner of the dashboard.
  2. In the window that appears, fill out the pass details:
  • From the Student dropdown menu, select the Student
  • From the Select Class dropdown menu, select the classroom the student is leaving from
  • From the Select the Destination dropdown menu, select the destination for the pass
  • (Optional) Adjust the Duration if needed (this is pre-filled based on the destination's settings)
  1. Click the Save Pass button.

The pass will be created and become active immediately, without requiring any further approval.


Note: Users who cannot approve passes to a destination cannot create passes for that destination.

Overriding Restrictions

When creating a pass, you may encounter a conflict with an existing limit. In most cases, you will be notified and given the option to override the restriction. These situations include:

  • The student's daily hall pass limit has been reached
  • The destination's concurrent pass limit has been reached
  • The location's concurrent pass limit has been reached
  • The student is restricted from being in the hall at the same time as another student who currently has an active pass.

Note: You cannot override a restriction if the student you are creating a pass for has another active pass

Completing an Active Pass

When a student returns to class, you can complete their trip in the Hall Manager dashboard.

  1. Locate the student's active/in progress pass in the list.
  2. Click the Returned button.
  3. This changes the pass status to Completed and records the final duration. 


Students can also complete their own passes. Students click or tap the Returned button in their student portal.  

Note: If an in progress pass expires, when it is completed (for example, a student taps the Return button), its status changes to Noncompliant on the Hall Manager dashboard, and in the Hall Manager report on the Students, Destinations, and Classroom tabs.


Hall Pass Kiosk

In addition to the teacher and student portals, Hall Manager offers a Hall Pass Kiosk mode, which turns a dedicated classroom device into a self-service station for students.

Entering Hall Pass Kiosk Mode

Hall Pass Kiosk mode does not require pass approval. 

Considerations:

  • Designates a specific device, such as a laptop, Chromebook, or PC, as the classroom's pass management portal
  • Secures the kiosk by requiring your user password to exit the kiosk mode.
  • Maintains student privacy, as the kiosk prevents students from seeing other active student passes or their destinations.

Note: Hall Pass Kiosk mode does not use a pass approval process. It overrides individual student pass destination or student hall pass settings.

Steps to enter Kiosk mode:

  1. From the left navigation menu, go to Hall Manager | View Passes.
  2. On the Hall Manager page, click the Hall Pass Kiosk button in the top-right corner.
  3. A confirmation window will appear. In the Select a Class dropdown menu, select the classroom the device will be assigned to.
  4. Click the Enter Kiosk Mode button. Or, click the Close button to close the window.

Note: To exit Kiosk mode and return to the admin portal, you will be required to enter your password.

  1. Click the Confirm button.

The device is now in Kiosk mode. Students can approach the device and enter or select their Student ID to request and complete their passes.



Exiting Hall Pass Kiosk Mode

  1. To exit the Hall Pass Kiosk mode, click the in the upper-right corner of the screen. 
  2. In the Confirm your Password dialog box, type your password and click the Exit Kiosk Mode button to return to the administration dashboard.
