An option to help return visitors speed up their return visit check-in process would be to send them their visitor specific QR Code ID.
Providing a Visitor their QR Code ID upon check-in
It is possible to send the visitor their QR Code ID upon checking in. This can be accomplished by utilizing the staff-assisted check-in screen via the web admin dashboard or by allowing visitors to opt-in to receiving their QR Code after completing the check-in process.
Staff Assisted Check-in
As shown below, when you are assisting the visitor with their check-in, you can ask them for their mobile phone number and/or their email address. Upon filling in either of those fields, a check box will be shown stating "Auto-generate, and send a QR Code ID?". Check mark that box to send the visitor their QR Code ID after completing the check-in process.
Please note: If this is the visitors first time completing the check-in process, there will be additional fields that will need to be filled out with their name, date of birth, address, etc. Those will need to be filled in manually or by using a 2D handheld scanner before the visitor can be checked in and their QR Code ID kicked out.
Self-service Check-in
If it's desired to allow visitors to personally opt-in to receiving their visitor specific QR code during the check-in process, a setting will need to be enabled. In order to enable this setting follow these steps:
- Sign into your admin account (app.visitor-aware.com)
- Navigate to the security settings page (https://app.visitor-aware.com/client-settings/security)
- Scroll down to "Allow visitors to self-generate permanent QR codes during check-in?"
- Set to "Yes"
- Scroll down and click "Save"
Providing a Visitor their QR Code ID
Begin by navigating to the visitor's or volunteer's profile to whom you'd like to provide their QR Code ID, then selecting the "QR Code ID" button below their photo as shown below:
You will then be prompted to select the desired means in which to provide the QR Code to the associated guest:
- Generate Token Only: This will generate their QR Code ID if it has not already been generated and will offer a way to physically print the QR code.
- Mobile Phone: This option generates and texts the QR Code ID. The visitor may then scan the QR code from their text messages.
- Email Address: Generates and sends the visitor's QR Code ID via email. The visitor may then scan the QR code from their email or save it to their phone.
Providing a Visitor their QR Code ID via self-registration process
If you choose to enable visitor self registration, visitors will be able to remotely create their visitor profile, complete the screening process, and be issued their visitor specific QR code (QR Code ID). Please make sure the self-registration process is enabled by referencing this article: https://visitoraware.freshdesk.com/support/solutions/articles/43000586913-visitor-pre-registration-with-school-specific-urls
Once enabled, you will be able to share the registration link with visitors before they arrive on site. The visitor will take their photo, fill in their information, and provide their email address so that they can receive their QR Code ID via email. If the visitor provides their mobile number, they will be texted their QR Code ID as well.
This link can be accessed through the "Activities" menu by clicking "Visitor Self Registration".
Share the link with any visitor who would like to create their profile remotely and receive their QR Code ID.
