This article explains the process of setting up Visitor Aware at your location using the following configuration:
- Web-Based Check-in Kiosks for visitors to check in and out
- USB-connected Dymo or other badge printers
- If using a Brother QL-810Wc, make sure "Editor Lite" is turned off on the printer (the light should not be on)
- The Print Helper application is not compatible with Chrome iOS (Chromebook). To automatically print visitor badges, this application must be installed on a Windows or iOS device to which the badge printer is connected.
The following instructions assume you have an existing and active Visitor Aware account with a username and password and a computer with a webcam.
Step 1: Navigate to Check-in Kiosk
- Navigate to: https://app.visitor-aware.com/ and log in if you haven't already
- From the Activities dropdown menu on the top right, (next to your name), click the Check In Kiosk button
- You may also navigate directly to: https://app.visitor-aware.com/visitor-kiosk
- Make sure you have selected your current location from the dropdown menu next to the Activities dropdown menu, if you have multiple locations
Step 2: Install the Print Helper Application
- On the computer connected via USB to the intended badge printer, download and install the print helper application:
- Ensure that your badge sizes are configured. Go to:
- You can just sign in using your preferred Visitor Aware email address. This will email an authentication token to the email address. Enter the authentication token to complete the sign-in.
- Configure:
- Click Printer Settings and select your badge printer
Note: Only the printers available to the computer appear here. - Then click the Test Print button (toward the bottom) to ensure it's available and working properly
- Click Locations and select your current location
- Click Printer Settings and select your badge printer
Step 3: Set Print Helper to Open at Startup
In order to ensure badges always print when visitors check-in, be sure to set the print helper application to open at startup. Your users will not need to log in to the print helper on each startup and will only need to sign in if they haven't already.
Step 4: Test your Handheld Barcode Scanner (Optional)
If you're using USB handheld barcode scanners (See https://www.singlewire.com/visitor-aware-hardware):
- Connect the barcode scanner to the computer
- Open a plain text document
- Scan the barcode shown below. If you see "This is a PDF417 and your scanner works properly." proceed to the next step, otherwise check your scanner settings and ensure that it's capable of scanning a PDF417.
Step 4: Check-In Visitors
- From the web check-in kiosk, select "Visitor Check-In"
- Take your photo
- Chose any destination
- Tap "Check In"
- If you haven't checked in previously, additional fields should be shown for name, sex, address, etc...
- If using handheld barcode scanners, just scan the back of your driver's license
- Tap "Check in" again
- A badge should automatically print upon check-in success and you're done!
- If a badge does not automatically print, make sure that both the iPad and the Desktop Print Helper application have the same location selected
