There may be times when the guardian information listed in the Student Information System doesn't match the information listed on the state issued ID that the guardian/visitor is using to check in. One example would be if someone legally changed their name.

For these scenarios, we have an option to merge the visitor profiles so that you're working off one visitor profile per visitor with accurate information.

Merging Visitor/Guardian/Volunteer Profiles:

  • First, start off by searching for the visitor's profile with the out dated information or the profile that was imported from the SIS (as shown below).

  • Once in the profile, click the "Merge" button below the visitor's name and/or photo.

  • You'll arrive at a screen that looks like the one below.

  • Search for the profile that contains accurate visitor information and make a note as to why the profiles are being merged.

  • If everything looks correct, click "Merge".

Upon a successful merge, you'll receive a pop up letting you know the merge was successful and the updated profile page will be displayed. Now Joanna Holden's profile has been merged into her accurate profile due to her last name changing to "Not-benana".

There will also be the added benefit of not having two profiles (one out of date) on file for one visitor. This will prevent a ton of confusion and if this guardian is authorized to sign-out students, these student relationships will be connected to the up-to-date profile.
