When you're expecting visitors that you know of in advance, the batch check-in capability might be a great option. This will allow you to queue up the group of visitors to be automatically checked in at the specified date and time. This feature does require that a visitor already have a profile within your Visitor Aware database.

To create a batch check-in, follow the steps below.


Scheduling a Batch Check-in:


  1. Navigate to the batch check-in screen (https://app.visitor-aware.com/batch-checkin/select)
  2. Fill in the form fields on the "Batch Check In" tab to queue up the group of visitors
    1. Visitors: Search for the visitor profiles of those individuals that will be checking in
    2. Destination: Select the destination where those visitors (from the previous step) will report upon check-in
    3. Check In Date: Select the date that these visitors will arrive
    4. Check In Time: Specify the time of day that they will arrive
    5. Reason for Batch Check In: Include a note as to why these visitors will be on-site as a reminder
  3. Click the "Check In" button to save the above information and to have these visitors queued up to be automatically checked in on the date and time specified
  4. You will be given the opportunity to print the badges off upon submission


Printing Badges for Batch Check-in Visitors:


There are a couple things to keep in mind when planning out the distribution of visitor badges for a batch check-in event.

  • If you're using a cable connected printer with the Print Helper application setup at your location, visitor badges will automatically print off when the visitors are automatically checked in
  • If you're using a wifi enabled printer, you will need to print the badges off manually before or when the visitors arrive
    • Before arrival: Print badges from the Future Visitors tab ahead of time
    • After automatic check-in: Print badges from the Dashboard Overview screen once they've automatically checked in (https://app.visitor-aware.com/)


Future Visitors tab:


Reference any batch check-in visitors from the Future Visitors tab, located on the Batch Check In screen. From this tab, you can:

  1. Print badges for those visitors
  2. Remove any listed visitor from the automatic check-in
    1. This is helpful if a visitor ends up cancelling their visit at any point
